2.3 Information from other sources

We may receive information about you from event partners when you have registered for an event through them, from single sign-on providers such as Microsoft or Google when you choose to sign in with a work account, and from publicly available professional sources to verify membership applications. We compile company profiles in the Solutions Directory from publicly available information about organisations.

  • comply with legal obligations, enforce our terms and protect our rights and those of our users.

4. Legal bases for processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases: performance of a contract to provide your account and the Services you request; legitimate interests in operating and improving the Services, keeping them secure, personalising content and conducting research, balanced against your rights; consent for marketing communications where required, non-essential cookies and sharing your details with a sponsor or listed company; and legal obligation where we must keep or disclose information by law. Where we rely on consent, you can withdraw it at any time.

5. How we share information

We do not sell personal information. We share it only in the following circumstances:

  • Partner communications: when Partner perks is switched on in your account settings, which it is when you join, we may share your name, job title, organisation and work email with partners of ConfX events whose offers are relevant to your profile and interests. You can switch this off at any time in your account settings.
  • With your agreement: with a sponsor, partner or company listed in the Solutions Directory when you specifically agree, for example when you book a meeting, accept a hosted invitation, download sponsored research with an opt-in, or request an introduction. Each agreement relates to the named company only.
  • Service providers: with companies that host the Website, process payments (Stripe), provide email and SMS delivery, analytics, event registration, customer support and security services on our behalf, under contracts that require them to protect the information and use it only to provide their services.
  • Event operations: with venues and event staff where necessary to run an event you attend, such as name badges or accessibility arrangements.
  • Legal and safety reasons: where required by law, regulation, legal process or a governmental request, or where necessary to protect the rights, property or safety of ConfX, our users or others.
  • Business transfers: in connection with a merger, acquisition, financing or sale of all or part of our business, subject to this policy.

Leadership Pulse and other research results are published only in aggregate. Your name and organisation are never attached to your individual responses in published research.

6. International transfers

We operate internationally and our service providers may process information in countries other than your own, including the United States, India and countries in the European Economic Area. Where we transfer personal information from the EEA, the UK or Switzerland to a country without an adequacy decision, we use appropriate safeguards such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum.

7. How long we keep information

We keep account and profile information for as long as your account is active. If you close your account, we delete or anonymise your personal information within 30 days, except where we need to keep certain records to meet legal, tax or accounting obligations, to resolve disputes or to enforce our agreements. Billing and payment records are kept for as long as tax and accounting law requires, usually up to eight years. Enquiries are kept for up to 24 months after our last contact. Event attendance records are kept for up to five years to manage invitations and eligibility. Aggregated research data that cannot identify you may be kept indefinitely.

8. Security

We use administrative, technical and organisational measures to protect personal information, including encryption in transit, hashed passwords, verification of new accounts, access controls limited to staff who need them, and monitoring for suspicious activity. No system can be completely secure, so we also ask you to keep your login details confidential and to contact us promptly if you believe your account has been compromised.

You can update most information and communication preferences in your account settings. To exercise any other right, email info@confxglobal.com. We will respond within the time required by applicable law, and we may need to verify your identity first. You also have the right to complain to your local data protection authority.

10. Marketing communications

We send newsletters and event announcements only where you have agreed or where the law otherwise allows. Every marketing email includes a link to unsubscribe, and you can change your preferences in your account at any time. Service messages about your account, applications and requests are not marketing and will continue while your account is active.

11. Children

The Services are intended for professionals aged 18 and over. We do not knowingly collect personal information from anyone under 18. If we learn that we have done so, we will delete it.
